Account Manager/Landscape Management

The Account Manager is the primary customer contact for contracted accounts within the Landscape Management Division. Position clearly communicates contract specifications to production management and works in conjunction with production to perform services in a profitable manner. This position is responsible for necessary the follow-up and follow-through to maintain positive customer relations, to ensure complete customer satisfaction and contract renewals. Suggests and sells non-contracted landscape management services to both meet the needs of property, increase customer satisfaction and gain additional revenue for the company.

Responsibilities/Activities

  • Develop strong positive relationships with customer base based upon clear and frequent communication, mutual trust and ability to meet the customer needs. Develop a win-win opportunities for the customer and the company.
  • Proactively manage properties by inspecting and locating problems in the landscape before the customer brings to our attention and then communicate problems to customers. Defines a resolution that is within customers’ needs and budgetary parameters.
  • Frequent, effective, professional, and timely communication with customers. Provides candid feedback on customer relationship and the customer’s perceptions of the product and service being provided, to maximize customer retention.
  • Monitors activity of crews and works closely with production staff regarding scheduling, quality and customer service. Assure all contracted services provided are of good quality and completed in a timely fashion. Communicate to appropriate parties any problem areas and work to find immediate resolution.
  • Assure that property meets customer expectation in terms of appearance and beauty.
  • Maintain job costs per guidelines and assist in meeting profitability goals.
  • Immediately reports to Division Manager any jobs deviating from budgets of time, schedule, cost or any other factor so appropriates adjustments can be made to maximize end result.
  • Makes recommendation regarding qualifying or disqualifying warranty work. Coordinates completion of warranty work per contract and/or instructions on Division Manager.
  • Maintain a high level of good housekeeping and care of company assets in the field, vehicles, shop, field offices and customer work-sites.

  • Prepares and presents proposals in complete and professional manner, according to company standards. Follows-up on hard bids and offers value engineered solutions to customers.
  • Ensures all estimates are prepared and approved as needed prior to presenting to customer.
  • Responds to all inquiries and requests for bid in a timely manner.
  • Assist in measuring properties and contract renewal process.
  • Maintains record and tracking of all proposals in progress and timely follows-up to maximize sales opportunities. Aggressively pursues all proposals in progress.
  • Maintains a company-owned database of current customers, prospective customers and past customers to support the marketing and sales effort.
  • Works closely with administrative support to make sure all contract administration is timely and accurate.
  • Stay aware of Best Practices and develop and recommend improved work methods and standards.
  • Support and assist in training of production staff to ensure services are delivered in a manner consistent with contract specifications and company standards.
  • Represents Company at various events, organizations and associations for the purpose of building relationships that lead to new business. Acts in capacity of Company representative and develops community ties to enhance public image and brand of the Company. Maintains positive relations with other companies in the industry and related industries.
  • Participates in various industry associations to increase knowledge of marketplace, sales opportunities, the competition, selling techniques and best practices.
  • Acquire and maintain a thorough knowledge of industry trends in order to identify and act upon opportunities for expanded services.
  • Build customer density in work area
  • Meet division guidelines for customer files, reports, and other documentation.
  • Provide feedback to appropriate parties regarding, pricing, competition and other market observations. Exploits changing market opportunities and responds to competitor strategies.
  • Provides feedback to the Marketing Department and offers recommendations regarding marketing strategies, materials and opportunities.
  • Produce billing documentation and conduct customer walk-throughs.
  • Keep accounts current by collecting customer payments on time.
  • Is aware of billing and collection status on all projects/customers. Advises on credits or collections and works with production, customer to get any collection issues resolved for work sold.
  • Other duties as assigned.

Production Manager/Landscape Management

Position is responsible for managing all field operations within the division. Coordinates the procurement and scheduled use of resources, including labor, equipment and materials to ensure maximum use and completion of work within budget, safety guidelines and quality standards. Promotes the growth and development of field staff and assists them in carrying out their responsibilities as needed. Coordinates use of resources within other divisions and lends support to operational activities for the entire Company.

Responsibilities/Activities

  • Manages and schedules labor, equipment and material to accomplish production schedules within established budgets. Maintains strict adherence to established schedules and budgets.
  • Understand contract specifications and ensures they are met and maintains customers complete satisfaction.
  • Provide most recent plans and/or documents to field staff at the beginning of the day and provide instruction to ensure Crew Leader and crew are prepared to complete the job
  • Ensures all work is completed in adherence to safety policies and guidelines. Conducts weekly safety training and safety inspections on job-sites.
  • Investigates any accident or safety violation, prepares appropriate reports, takes action steps to correct and prevent future occurrences. Defines and implements solutions to reoccurring accidents or most common hazards.
  • Maintains proper inventory of materials, equipment and other supplies are on hand to complete production activities.
  • Order materials, equipment and supplies as needed within purchasing limits.
  • Supervise employees, keeping attendance records, enforcing proper uniform and safety equipment use, and approving time cards.
  • Overall human resource management of field staff within division. Includes hiring, firing, training, coaching, mentoring and developing staff to reach potential and established goals for the individual and division. Identify and develop Crew Leaders.
  • Maintains sufficient staff to accomplish production schedules and analyzes future needs, forecasting staff and material needs to complete future jobs.
  • Conducts timely performance reviews of direct reports and take corrective actions when appropriate.
  • Coordinate the use of labor, equipment, materials and other resources with other divisions as needed.
  • Obtain utility locates on needed properties 48 hours prior to beginning a work. Update as needed.
  • Visit job sites on a regular basis, observing organization of work, identifying and resolving training issues, and taking necessary actions to ensure quality.
  • Respond to customer complaints ensuring proper handling to achieve excellent customer satisfaction.
  • Maintain day-to-day working knowledge of all contracts in progress, including field completion status, billings to-date and progress payments.
  • Maintains costs within all assigned budgets.
  • Monitors job costs weekly and immediately reports to Division Manager any jobs deviating from budgets of time, schedule, cost or any other factor so appropriates adjustments can be made to maximize end result.
  • Makes recommendation regarding qualifying or disqualifying warranty work. Coordinates completion of warranty work per contract and/or instructions on Division Manager.

Turf & Ornamental Department Manager

This position is responsible for managing all field operations specific to turf and ornamental care. The Department Manager must maximize all resources including labor, equipment, and vehicles to ensure that assigned clients are serviced per their contracted agreements while working within budget and adhering to all safety and quality standards.

Minimum Requirements

  1. Two year degree in Landscape Horticulture/Management and 2 years continuous experience in landscape construction/installation OR 4 years continuous service performing duties as described below.
  2. Basic understanding of Landscape Design.
  3. Excellent oral and written communication skills.
  4. Good organizational skills and the ability to tolerate and work efficiently in a stressful environment, along with ability to self motivate.
  5. Valid driver’s license and DOT physical certification.
  6. Valid licenses as required for each state service is performed in.
  7. Working knowledge of Microsoft Outlook, Excel, and internet search engines.

Responsibilities/Duties

  • Managing and scheduling labor, equipment, and materials to accomplish production schedules within budget.
  • Reviewing and understanding all assigned contracts to ensure services are being performed per the specifications.
  • Inspecting properties prior to the scheduled service visit to prepare a plan for the next service.
  • Providing instructions to each crew leader at the beginning of the day to ensure the crew understands the expectation for the day and that they are set up to complete their assigned jobs.
  • Visiting job sites on a regular basis to observe organization of work, resolve training issues, and take all action necessary to ensure quality of work.
  • Reporting to management any jobs that deviate from the schedule, budgets, time allowances, or any other factor affecting profitability so that adjustments can be made to maximize profitability.
  • Staying aware of competition in the marketplace and report findings regarding pricing, marketing strategies, new materials, etc.
  • Communicating with on-site personnel to inform them about pests that may be reducing the value of their landscape and proactively offering solutions. Writing up ticket work or proposals for additional services requested.
  • Performing hands on work with crews to meet schedule demands.
  • Responding to customer complaints with the goal of providing excellent customer service.
  • Maintaining inventory of tools and equipment and other company issued supplies.
  • Training all employees on proper handling and use of all chemicals and equipment needed to complete applications.
  • Hiring, firing, training, and developing assigned staff. Identifying and developing future crew leaders.
  • Supervising employees, keeping attendance records, enforcing uniform and safety policies, and approving time cards.
  • Conducting performance reviews no less than annually for each direct report.
  • Participating in company snow removal operations as assigned.

Irrigation Operations Manager

This position is responsible for managing all operations related to commercial sprinkler service. The Operations Manager must maximize all resources including labor, equipment, and vehicles to ensure that assigned clients are serviced per their contracted agreements while working within budget and adhering to all safety and quality standards.

Minimum Requirements:

  1. Two year degree in Landscape Horticulture/Management and 2 years continuous experience in landscape construction/installation OR 4 years continuous service performing duties as described below.
  2. Basic understanding of Landscape Design.
  3. Excellent oral and written communication skills.
  4. Good organizational skills and the ability to tolerate and work efficiently in a stressful environment, along with ability to self motivate.

  • Training all employees on proper care and maintenance of vehicles and equipment.
  • Hiring, firing, training, and developing assigned staff.
  • Identifying and developing future crew leaders.
  • Supervising employees, keeping attendance records, enforcing uniform and safety policies, and approving time cards.
  • Conducting performance reviews no less than annually for each direct report.
  • Participating in company snow removal operations as assigned.

Business Development Director

This position participates in research and outreach efforts of all kinds in order to expand the current client circle, open opportunities for adding additional revenue, and educating current and future clients.

Minimum Requirements:

  1. Working knowledge of Microsoft Office Suite.
  2. Demonstrated ability in written and oral communication in English.
  3. Willingness to continue to improve computer, design, and communication skills either in class or in the field.
  4. Good organizational skills

Responsible for:

  • Researching and identifying potential clients in our service area.
  • Creating and manage a consistent outreach plan to consist of cold calls, printed pieces, and emails.
  • Adding new contact information to the client database and any lists being used for outreach and business development.
  • Creating marketing packages to be distributed to potential clients.
  • Creating monthly eblasts targeting new clients.
  • Scheduling photo shoots to build the current portfolio.
  • Submitting award and recognition applications to various associations and agencies.
  • Assisting the sales people in expanding the client base by making sales calls, attending trade shows, association meetings, and pre-bid meetings.
  • Organizing all potential lead information into a database.
  • Generating lead reports from the database at the request of the salesperson or other officers of the company.
  • Maintaining new and renewal sales reports that track proposals on the street and likelihood to close.
  • Assisting Salespeople with preparation of bid packages and renewal contracts.
  • Assisting in the annual budgeting process by identifying upcoming events and business development opportunities in our area.
  • Ordering and distributing marketing give away items.
  • Developing marketing strategies for review by the officers of the company.
  • Updating company information on the website and social media sites regularly.
  • Marketing and reaching out to new recruits through college websites, job fairs, and other recruiting resources.
  • Reviewing and adhering to the standards and policies set forth in the company handbook.
  • Any and all tasks as assigned by the Officers.

Construction Estimator/Salesperson

This position is responsible for generating new sales and construction projects for the Landscape Construction Department.  

Minimum Requirements:

  1. Two year degree in Landscape Horticulture/Management and 2 years continuous experience in Landscape Construction sales and estimating or 4 years experience in the Landscape industry performing duties similar to those described below.
  2. Excellent written and verbal communications skills.
  3. Good organizational skills and the ability to self motivate.
  4. Working knowledge computers and willingness to expand that knowledge.
  5. Good mental health.

Responsible for:

Estimating & Bidding of Landscape/Construction jobs as assigned by Complete Landscaping:

  • Thoroughly examine and understand bid documents.
  • Perform accurate and reliable blue print take offs as per plans and specifications in related bid documents.
  • Direct and oversee estimators and assistants within the Estimating Department.
  • Work with Purchasing Agents to develop the most up-to-date pricing to be implemented with individual bids.
  • Work within set guidelines for unit pricing determined by Complete Landscaping management.
  • Prepare bids for review with Complete Landscaping management 24 hours prior to bid date (unless otherwise by approved by management).
  • Produce an accurate, dependable, and completed bid working within the Complete Landscaping bid format and submit by the set deadline.
  • Thoroughly review all contracts awarded independently and with Complete Landscaping upper management prior to the signing of contracts to ensure that contract documents and submitted bid are in line. Note: Only upper management is permitted to sign contracts unless otherwise approved.
  • Transfer all pertinent information (i.e. bonding info, submittals, certified payrolls, etc.) from the Estimating Department to the Production and Purchasing Department via job information packages once the contract is signed.

Develop client base through sales and marketing practices to achieve pre-determined sales goal determined by CLS Upper Management.

Quality Control:  Monitor the quality of work performed by the estimating department to ensure that all of Complete’s standards are achieved or exceeded.

All Safety Issues:  Responsible for all safety rules developed by Complete Landscaping, as stated by law, and in accordance with contract specifications.

Company Handbook:  Review, adhere to, and enforce all standards and policies as set forth in the company handbook.
